This Privacy Policy explains how GageRoom collects, uses, shares, and protects information when you visit our website, request a demo, contact sales, create an account, or use the GageRoom calibration and gage management service.
If your organization provides your account, your organization may control the account and the information stored in it. Its own privacy notices and internal policies may also apply.
Information we collect
We collect only the information reasonably needed to operate, secure, support, and improve GageRoom.
- Account and organization information: name, work email address, organization name, job role, account settings, and user permissions.
- Customer content: gage and equipment records, calibration schedules, results, certificates, attachments, notes, locations, owners, status history, and other information your team enters or uploads.
- Sales and support information: details submitted through demo, early-access, contact, and support forms, together with related communications.
- Usage and technical information: browser and device information, IP address, dates and times of access, pages and features used, diagnostic logs, and security events.
- Billing information: plan, invoice, and transaction details. When card payments are offered, payment details may be processed by a payment provider rather than stored directly by GageRoom.
How we use information
We use information to provide and administer the service, create and secure accounts, display records to authorized users, send requested calibration reminders and service messages, respond to support requests, manage subscriptions, and maintain reliable operations.
We may also use information to understand product usage, improve usability and performance, prevent fraud or misuse, comply with legal obligations, and communicate about relevant GageRoom updates. You can opt out of non-essential marketing messages at any time.
Customer content and control
Your organization retains ownership of the customer content submitted to GageRoom. We process that content only to provide, maintain, secure, and support the service, or as otherwise instructed by your organization.
Organization administrators may access, export, correct, or delete information and manage user access. Customers are responsible for ensuring they have the rights and permissions needed to upload information and make it available to their authorized users.
How information is shared
We do not sell personal information. We may share limited information with service providers that help us deliver hosting, email, analytics, customer support, payment processing, security, and related operations. These providers may use the information only to perform services for us under appropriate obligations.
Information may also be shared with authorized users and administrators within your organization, when required by law or a valid legal process, to protect rights and safety, during a business reorganization or transfer, or when you ask us to share it.
Cookies and analytics
GageRoom may use essential cookies or similar technologies to keep sessions secure, remember preferences, and operate the website and application. We may also use limited analytics to understand traffic and product usage.
You can control cookies through your browser settings. Blocking essential cookies may prevent sign-in or other parts of the service from working correctly.
Data retention and deletion
We retain account information and customer content while an account is active and for a reasonable period afterward when needed for backup, recovery, security, billing, dispute resolution, or legal compliance.
Authorized customers may request an export or deletion of their information. Some information may remain temporarily in protected backups or be retained where required by law. We aim to delete or anonymize information when it is no longer needed.
Security

GageRoom may use infrastructure and service providers located in countries other than your own. Where required, we use appropriate measures designed to protect information when it is transferred across borders.
Your organization should confirm that its use of GageRoom and its chosen configuration meet any location-specific data storage or transfer requirements that apply to it.
Your choices and rights
Depending on where you live, you may have rights to request access to, correction of, deletion of, restriction of, or a copy of certain personal information. You may also object to some processing or withdraw consent where processing is based on consent.
If your account is managed by an organization, contact your organization administrator first. You can also contact us, and we will respond or direct the request to the appropriate customer administrator as required.
Children and policy changes
GageRoom is a business service and is not directed to children. We do not knowingly collect personal information from children through the service.
We may update this policy as the product, our practices, or legal requirements change. We will publish the updated version on this page and revise the date above. For material changes, we may provide additional notice through the service or by email.
