A calibration record is the permanent evidence of one calibration event. It should identify the correct gage, explain what work was performed, preserve the result found before and after any adjustment, connect the supporting evidence, and show who reviewed the event and what decision followed.

What should a calibration record allow you to answer?

A complete record lets a quality team reconstruct the event without depending on memory. Another authorized person should be able to determine which gage was calibrated, when and by whom, against what requirements, what condition was found, whether anything changed, and whether the gage can be used now.

One event, one permanent record

Do not overwrite the previous result when a new calibration occurs. Create a new event and keep it connected to the same permanent Gage ID.

The exact information depends on the equipment, method, service scope, customer obligations, and your quality system. A simple visual check may need a different level of technical detail from a multi-point calibration of a reference standard.

Identification and event information

Permanent Gage ID

The unique identifier used on the physical item, master register, event, and certificate

Equipment identity

Description, manufacturer, model, serial number, range, and function as needed to avoid ambiguity

Calibration event ID

A unique reference for this specific internal or external calibration event

Dates

Calibration date, certificate or record issue date where relevant, and approved next due date

Service route

Internal or external calibration, provider or technician, location, and work-order reference

Method and scope

The procedure, method, requested range, points, functions, and service level used

Identity must be consistent. If the certificate serial number, physical label, and register Gage ID do not agree, resolve the discrepancy before accepting the event.

Technical information to preserve

  • As-found readings or condition before adjustment or repair.
  • As-left readings or condition after authorized work.
  • Calibration points, units, ranges, functions, and direction where relevant.
  • Defined acceptance criteria and the resulting decision.
  • Reference standards used and their identification or supporting traceability information as required.
  • Relevant environmental and stabilization conditions.
  • Reported measurement uncertainty and decision information when required by the method, service, or application.
  • Deviations from the requested method, incomplete points, limitations, or exclusions.

Preserve the actual values when they support a technical decision. A single “Pass” label cannot show drift, margin to a limit, an affected range, or whether an interval should be reviewed.

Result, review, and disposition fields

    State the calibration result

    Use a defined result such as Pass, Fail, or Limited Use and connect it to the actual reported data.

    Record adjustments and repairs

    Explain what changed, who authorized it, and whether new as-left evidence was obtained.

    Document exception follow-up

    For a failed result, preserve containment, potential-impact review, restriction, retest, or other required action.

    Approve the next interval and date

    Confirm that the planned interval remains appropriate instead of copying the previous date automatically.

    Set current gage status

    Return to Active only when technical and administrative review is complete; otherwise keep the controlling exception status.

    Identify the reviewer

    Record the authorized reviewer, review date, and unresolved follow-up owner.

Internal and external records need the same core story

An internal record often contains more raw data, method details, technician information, standards used, conditions, and calculations. An external record may rely on a provider’s certificate, purchase requirement, shipment record, accreditation evidence where required, and an internal certificate-review record.

The provider creates the certificate; your organization still confirms identity, requested scope, result, evidence, exceptions, and return-to-service decision

Use one event structure across both routes so every gage history can be searched and reviewed consistently.

Calibration record completeness checklist

  • The Gage ID and equipment identity agree across all records.
  • Event date, route, provider or technician, method, and scope are clear.
  • As-found and as-left conditions are preserved where applicable.
  • Results, criteria, limitations, adjustments, and repairs are visible.
  • Required standards, traceability, uncertainty, and environmental evidence is present.
  • The certificate or supporting record is attached and retrievable.
  • Exception, product-impact, restriction, or disposition actions are connected.
  • Reviewer, status, interval, next due date, and follow-up owner are recorded.
