A calibration schedule is the operational view of upcoming work. It should help a coordinator decide what needs action, who owns it, where the gage is, how calibration will be completed, and whether production or inspection needs a substitute.

Gage ID, equipment description, serial number when useful, and equipment type

Service plan

Internal or external route, provider or technician, booking date, shipment date, and target completion

Current status

On Schedule, Due Soon, Under Calibration, Overdue, Out of Service, or another defined state

Operational plan

Production window, substitute gage, priority, and relevant job or downtime note

Closure

Event ID, result, certificate review, new next due date, reviewer, and open follow-up

Keep one authoritative schedule

A weekly view or exported report can support meetings, but changes should return to the controlled register or system that owns the current due date and status.

The next action should be specific enough to close: confirm location, book provider, approve downtime, ship, perform calibration, review certificate, or resolve an exception.

Build the calibration schedule in six steps

    Start from the controlled population

    Include active gages with valid identity, current status, interval, due date, owner, and location.

    Calculate the planning window

    Use provider lead time, shipping, production availability, substitute needs, and review time.

    Group work logically

    Sort by due window, department, provider, service route, or equipment family when it improves planning.

    Give each due-soon item an owner, response date, and visible action.

Under Calibration

The gage is unavailable while work or result review is open

The approved due date passed before closure; use-control and escalation procedure applies

Closed

Result, certificate, review, current status, and next due date are complete

If “Planned” or “Closed” are workflow states rather than gage statuses in your system, keep them in separate columns. Do not let a planning label hide that a gage is Overdue or Out of Service.

Weekly calibration schedule review

  • New items inside the planning window have an owner and next action.
  • External provider lead times, quotations, and shipments are on track.
  • Internal standards, technicians, environment, and production windows are available.
  • Under-calibration items have realistic expected return dates.
  • Overdue items are controlled and escalated.
  • Completed work has certificate and result review, not only a provider return date.
  • Lost, damaged, failed, or limited-use items remain in their exception workflows.
  • Workload and recurring delays are used to improve future planning windows.

Calibration scheduling mistakes to avoid

  • Using the due date as the first date anyone takes action.
  • Sending one generic reminder window for every service route.
  • Assigning departments but no individual action owner.
  • Marking work complete when it is booked, shipped, or returned but not reviewed.
  • Changing the next due date to hide overdue status.
  • Keeping the schedule in a personal calendar separate from gage status and history.
