What the calibration log records
Each row represents one completed calibration event. If the same gage is calibrated five times, it should have five event rows. That history helps you review performance over time instead of seeing only the latest result.
Unique Event ID, permanent Gage ID, and equipment or instrument description
Calibration date, internal or external type, provider or technician
Pass, Fail, or Limited Use with the actual as-found condition
Adjustment, repair, restriction, removal from service, or other disposition
Certificate number and a link or path to the supporting record
Interval in months plus calculated next due date, days to due, and due status
Reviewer name and notes that explain unresolved or completed action
The formulas are useful indicators, not substitutes for review. When a gage has a special interval, a restricted status, or an open impact assessment, the responsible person should confirm that the calculated date reflects the approved decision.
How to use the calibration log
- 1Keep one row per event
Never overwrite an older calibration with the newest result. Add a row so the sequence remains visible.
- 2Use permanent identifiers
Enter the same Gage ID used on the physical item and in your controlled register.
- 3Record the as-found condition
Capture what the provider or technician observed before adjustment, not only the final passing condition.
- 4Link the evidence
Use a consistent certificate filename or document location that another team member can retrieve.
- 5Review calculated dates
Confirm the interval and next due date before returning the gage to active service.
- 6Close the follow-up
Name the reviewer and document any containment, restriction, repair, or product-impact action.
Gage register vs calibration log
The register describes the current controlled population: what the gage is, who owns it, where it is, and its current status. The log describes events: when calibration occurred, what the result was, and what happened next.

These records should connect through the permanent Gage ID and, where possible, a unique Event ID. Keeping those identifiers consistent makes reconciliation and audit retrieval much easier.
Keep the spreadsheet controlled
A useful template can become unreliable if copies multiply or formulas are changed without review. Decide where the master file lives, who can edit it, who checks due dates, and how certificates are stored.
- Store one approved master file in a known location.
- Limit edit access to defined owners or reviewers.
- Protect formula columns after adapting the template.
- Use a consistent date format and time zone.
- Back up the file and test that it can be restored.
- Review overdue, failed, and limited-use records on a defined cadence.
- Preserve superseded versions according to your retention procedure.
When a spreadsheet is no longer enough
Excel remains practical while the list is small, ownership is clear, and manual reviews are dependable. Friction appears when several people edit records, reminders must be sent manually, certificates sit in disconnected folders, or teams cannot tell which copy is current.
The trigger to evaluate software is not a universal gage count. It is the point where your team spends more effort maintaining confidence in the file than completing and improving the calibration workflow.
