A due date cannot be completed if nobody knows who must act or where the gage is. Clear ownership, department, and location data connects the calibration schedule to daily operations without making one quality coordinator responsible for physically finding every item.
Owner, department, and location answer different questions
Who is accountable for availability, correct use, location confirmation, and response to calibration action
Which operational function controls or primarily uses the gage and may need to plan downtime or replacement
Where the gage is expected to be found now, using a controlled hierarchy or defined mobile status
Who plans service, tracks due work, maintains event records, and follows the item through review
Who is authorized to review results and evidence and approve the return-to-service decision
Entering “Quality Lab” as owner, department, and location hides responsibility. Use a named person or role for accountability and controlled values for organizational and physical placement.
Define practical ownership responsibilities
- Confirm the gage can be located and identified.
- Protect it from damage, unauthorized adjustment, and unsuitable storage.
- Respond to due-soon reminders and production planning requests.
- Report loss, damage, abnormal behavior, or unauthorized movement promptly.
- Ensure status and restrictions are understood by users.
- Support the handoff to internal or external calibration.
- Confirm returned equipment reaches the correct controlled location.
The owner does not need to perform calibration or approve technical results. Separate operational accountability from calibration coordination and technical authorization.
Build a location structure people can maintain
- 1Use a hierarchy
Structure location as Site, Building or Area, Department, Room or Cell, and Storage Point when that detail is useful.
- 2Control the vocabulary
Use selected values instead of free-text variations such as QA Lab, Q.A. Laboratory, and Quality Room.
- 3Match useful granularity
Choose enough detail to find the item without creating fields nobody updates.
- 4Handle temporary placement
Record Under Calibration, External Provider, Issued to Job, or another controlled temporary location separately from home location.
- 5Assign location owners
Make departments responsible for periodic confirmation of the equipment recorded in their area.
Preserve both home location and current location for mobile or shared equipment. That distinction supports return, inventory, and loss investigation.
Control owner, department, and location transfers
Gage ID, current and new owner, department, location, effective date, and reason
Identity, physical condition, current status, due date, accessories, certificate, and open actions
New owner confirms receipt and responsibility
Old and new values, date, requester, approver, and evidence remain searchable
Reminder recipients, production planning, service route, and provider pickup instructions are updated
Do not treat a spreadsheet row edit as a complete transfer. The physical item, operational responsibility, and reminder routing must change together.
Review ownership and location data routinely
Use due-date planning, physical inventory, department changes, employee transitions, and internal audits as triggers to validate responsibility and placement.
- Every active gage has a current owner and backup route.
- Departments and locations use controlled names.
- Temporary and home locations are not confused.
- Transferred gages have acceptance and change history.
- Reminder recipients match actual responsibility.
- Former employees and obsolete areas no longer own active work.
- Unlocated equipment enters the lost-gage process promptly.
