Complete calibration history is the chronological story of a gage from entry into control through calibration, verification, adjustment, repair, movement, restriction, loss, and retirement. It preserves previous facts instead of showing only today’s due date and latest certificate.

What does complete calibration history include?

Permanent identity

Gage ID, manufacturer, model, serial number, range, and other attributes that identify the same physical item

Calibration events

Every internal and external event with date, provider or technician, result, as-found and as-left condition, and review

Documents

Certificates, internal data, repair evidence, impact reviews, and supporting communications linked to the correct event

Schedule decisions

Intervals, due-date changes, extensions, and the evidence or approval behind them

Lifecycle events

Receipt, activation, movement, ownership, damage, loss, limited use, out-of-service periods, and retirement

Status history

Previous status, new status, date, reason, responsible person, and supporting event

The latest record is not the history

If a new calibration replaces the previous date, result, and certificate, the organization loses the evidence needed to review drift, failure scope, interval performance, and earlier decisions.

Structure master data and events separately

The gage master is the current controlled view of the equipment. Events are immutable historical occurrences. Keeping them separate prevents a common spreadsheet problem: expanding one row with “last calibration” columns until earlier events disappear.

Master record changes

Current owner, current location, current status, approved interval, next due date, and intended use

Historical event stays

Actual event date, provider, results, certificate, conditions, repair, reviewer, and decision at that time

Relationship

Every event carries the permanent Gage ID; each document carries or inherits the event relationship

Use unique event IDs in addition to the permanent Gage ID. One identifies the physical gage; the other identifies a specific calibration, repair, or lifecycle occurrence.

Preserve every calibration event without overwriting

    Create the record when work is planned or begins so the handoff and temporary status are visible.

    Preserve readings or condition before any adjustment, repair, or cleaning that changes the evidence.

    Keep method, provider or technician, result, adjustment, repair, as-left condition, and limitations.

    Correct errors through traceable amendments instead of silently rewriting the completed event.

Track changes to ownership, location, interval, and status

  • Record the old value and new value.
  • Preserve the effective date and person making or approving the change.
  • State a reason when the change affects calibration control or intended use.
  • Link interval changes to performance, risk, requirement, or technical-review evidence.
  • Link status changes to the event or action that authorized them.
  • Do not change a historical event because the current department or location changed.

This distinction matters during investigations. A current location tells you where the gage should be today; movement history helps determine where it may have been used during an earlier time window.

Keep documents connected and revisions visible

Certificate storage should preserve the relationship, not only the file. Index each document with Gage ID, event ID, date, provider, document type, certificate number, review status, and revision.

  • The latest accepted certificate is obvious without hiding older certificates.
  • Corrected documents supersede rather than silently replace the original.
  • Broken links and unreadable scans are found through periodic retrieval tests.
  • Export and backup preserve both files and their relationship to events.
  • Retention and disposal follow the organization’s documented requirements.

  • Every calibration has a distinct event and result.
  • As-found evidence is available for failures, adjustments, and trend review.
  • Certificate, event, and permanent Gage ID agree.
  • Status, interval, and due-date changes have reason and authorization.
